Small Business Week Day 5: AI for Small Business

 

Artificial intelligence, or AI, has gotten a lot of press lately with Chat GPT and now Google’s Bard, automating tasks, writing, and just making certain tasks so much more bearable. As a small business, there are ways to harness the power of AI to take care of things you probably think you need an extra employee to do. I’ll show various ways you can use free AI tools like Chat GPT to handle these tasks so you can focus on running your business.

Getting Started

Head to chat.openai.com and create an account to get access to the chatbot. Here are a couple of things you need to understand about ChatGPT before we begin:

It only knows things up to 2021. So if ask it about a current event or phenomenon, it probably won't know what you are talking about.

It may produce inaccurate information like statistics, facts, or places. So take all the “factual” information at face value.

With vague instructions (called prompts), you may not get the best answer. So, we need to be as descriptive as possible. It does remember chats, so you may need to ask follow-up questions to get more descriptive answers.

Descriptions

Are you tired of creating interesting product descriptions that will wow people? AI can make that chore painless and easy. Head to the Chat GPT, and we’re going to give a simple instruction using this prompt:

Create an interesting (or engaging) product description for [Product Name].

Create an interesting or engaging product description for a medicine ball for exercise.

Now don’t press enter just yet. Chat GPT will likely have no idea what you're talking about. Here’s where we can add a few details. You likely have some list of features for the product, so let's add those using a follow-up sentence.

Include the following product information: [add product details]

Explain Text

One of the amazing things AI can do is read and explain things in a simplified way. For instance, if you come across a lease or contract language that is difficult to understand, you can use AI to explain it to you in simpler terms.

This indemnity and hold harmless agreement shall include indemnity against reasonable attorneys’ fees and all other costs, expenses and liabilities incurred or in connection with any such claim or proceeding brought thereon, and the defense thereof. The claims subject to the foregoing indemnity by Tenant shall include any claims by the Master Landlord under Section 9(a) of Master Lease arising from the Tenant’s use or occupancy of the Premises.
This paragraph is talking about something called indemnification. It means that the tenant (the person renting the property) agrees to protect and compensate the landlord for any harm or damage that might happen to the property or people on the property, as long as it's not caused by the landlord's own negligence or intentional actions. This includes accidents or injuries that happen in the rented space or on other areas of the property, like the common areas. The tenant also agrees to pay for any legal fees or other costs related to any claims or lawsuits that arise from such harm or damage. However, the landlord is responsible for any harm or damage caused by their own negligence or intentional actions, or those of their employees or agents. This paragraph also mentions that this indemnification applies to any claims brought by the landlord's own landlord, if the rented property is part of a larger lease.

Okay, let me explain it in a simpler way. This is a document that talks about a tenant renting a space from a landlord. It says that if anything bad happens in the space the tenant is renting, like if someone gets hurt or something gets broken, the tenant promises to take responsibility for it and pay for any damages. But, if the landlord or someone who works for the landlord is responsible for the bad thing that happened, then the tenant doesn't have to pay for it. The tenant also has to pay for any legal fees or costs that come up if someone sues because of something that happened in the space they are renting.

However, it's important to note that AI is not a replacement for a lawyer. It is only for your reference. If you still feel uncomfortable signing a document, even after it has been explained to you by AI, it may be necessary to seek the help of a lawyer or professional who can modify the language to make it more suitable for an agreement. So, AI is a helpful tool for understanding complex language, but it's always advisable to seek legal advice if you have any doubts or concerns.

Social Media Posts

One of the other things small businesses get tired of doing is thinking of interesting posts to put on social platforms like Facebook or Instagram. We can use Chat GPT to take care of this for us as well.

Create a (social media) post for (occasion). Include emojis and hashtags.

Say we want to create a post about Cinco de Mayo for our Facebook business page for our Mexican restaurant.

We can also use AI to promote some content, like a blog post on your business blog. Here’s how we can prompt the chat:

Create a (social post type) about “(blog post title)”. Include emojis and hashtags.

If you have tweets you would like to schedule or create snippets for a repurposing campaign, you can use this command prompt below. If you have talking points of the blog post you can prompt the chat to include those as well:

Create a tweet thread promoting the blog post titled "(blog post title)" about each section. The sections are: [talking point 1], [talking point 2], [talking point 3], etc. Include emojis and hashtags.

Respond to reviews

As a small business owner, your reputation is your marketing, and your reviews can impact your business in a huge way, for better or for worse. How you respond to those reviews can make or break your customer's perception of your business. Let’s create some command prompts to respond to both types of reviews. I personally created these prompts after reading reviews and pulling out the common threads found in each response.

For the positive review, I want to show that I appreciate the positive feedback, so I’ll use the command prompt below and then paste the review for the AI chat to respond to.

Write a short reply to this online review. Include a positive statement expressing gratitude. [Paste positive review here.]

Negative reviews are far more sensitive when it comes to the response. The common denominator here is to apologize and smooth things over with the customer to not lose them completely. Here’s how we can do that. days

Write a short reply to this online review. Include an apology and express that you will do better next time. [Past negative review here.]

The idea here is to create a post that is the least offensive. You can use all or even some of this response when sending it to your customer.

Youtube Videos

So everyone wants to be a YouTuber these days, and small businesses use YouTube to create content and grow their business. AI can be an invaluable tool to write your scripts or descriptions on the back end.

The hook for a YouTube video is the most important part, because it needs to capture attention in the first seven seconds for viewers to stick with you. Here are a couple of prompts to achieve this.

Write me an engaging opening statement for a YouTube video about (keyword or video title).

This is the basic opening for a video. Chat GPT tends to be a little wordy with writing, so you may want to put a word limit on it to keep it punchy, like 50-100 words. It looks like this:

Write me an engaging (word count) opening statement for a YouTube video about (keyword or video title).

If you want to get more advanced with your script as a professional content creator. I developed a command prompt using the Before After Bridge copywriting formula to entice a viewer using professional techniques.

Write me a short, engaging opening statement for a YouTube video about "[the YouTube video title or keyword]" using the BAB (Before-After-Bridge) copywriting framework.

If you are having trouble writing a youtube description for a video and summarizing it you can use this prompt to quickly summarize it into something short and sweet.

Write a youtube description that is 160 characters for a video titled “(Video Title)”

Blogging

Our last application using AI is the most powerful and the most involved. Here is the framework for blogging using AI.

If you don’t already have some topics to write about, you can use Chat GPT to quickly come up with some ideas around your business topics with this command:

Create 10 compelling, clickbait titles for “(keyword)”.

Once you choose a title that works for you, we will then create an outline for your blog:

Create an outline for a blog post titled “(blog post title).”

You can choose which sections you want to include or discard and put them in a Word document or Google document. Now that you have your blog post outline, we need to fill out that information for the post. We can grab each section of the outline and instruct the AI chat bot how to write it. Depending on who your customers are, you will need to write in different styles.

For local small businesses, a conversational style is best so we prompt the chat in this way:

Expand in a conversational way, as if you were explaining something to a friend. Use natural language and phrasing that a person would use in an everyday conversation. [paste the points from the outline]

If you are looking for an even simpler explanation of a concept or writing style, then you can use this prompt:

[Write at a 5th-grade level. Use clear and simple language. Bias toward short sentences. Avoid jargon.] [Paste text]

For more professional businesses that need to translate esoteric or hard-to-understand concepts into something easy for a layperson to understand, using this prompt will work. I tend to see you write like this anyway, so this one works for me:

[Write using simple language to convey complex ideas so that they are clear and easy to understand. Break down concepts into easy-to-understand frameworks and models. Bias towards short sentences and avoid jargon.]

Once the entire blog post is written, as well as it has been done, we don't want to just take it at face value; we want to make it our own. We will do this by rewriting it. Wait I have to rewrite the whole thing? Well, no. But even if you did, there are tools for that.

Quillbot is another AI tool that will paraphrase and rewrite the text. We can take each section of the blog post and tweak the blog post so it sounds more natural. 

Once you are ready publish you can use other prompts for social media to promote your blog online and beyond.

Conclusion

Small businesses can harness the power of AI to automate various tasks and save time. AI tools like Chat GPT can be used for creating product descriptions, social media posts, responding to online reviews, and even writing scripts for YouTube videos. While AI can be incredibly helpful, it is important to keep in mind its limitations, like outdated information and potential inaccuracies. Overall, incorporating AI into your small business can increase efficiency and productivity, allowing you to focus on other important aspects of running your business.
